This policy explains how Beautano collects, uses and protects your personal information when you contact us, book with us, visit our studio or use this website. We're committed to handling your data lawfully and transparently under the UK GDPR and the Data Protection Act 2018.
Who we are
Beautano is a trading name of BEAUTANO LTD, a company registered in Scotland (company number SC837546). We are the "data controller" for the personal information described here.
Registered studio: 421-423 Nitshill Road, Nitshill, Glasgow G53 7BN. You can reach us on 0141 483 7005 or at hello@beautano.com.
The information we collect
- When you contact us — via the website form, phone, email or social media: your name, email address, phone number and the details of your enquiry.
- When you join the Glow Club — the email address (and any name) you give us, so we can send you offers and updates.
- When you book or attend a session — booking details, and basic records needed to run treatments safely, which can include age verification and a skin‑type or health declaration, held in our booking and salon‑management system (SalonTracker). Some of this is health‑related ("special category") information that we collect to keep you safe and to meet our legal duties around sunbed use.
- When you use this website — if you consent to analytics, limited information about your device and how you use the site (see Cookies & analytics below).
- When you visit the studio — CCTV images, as our premises are monitored for safety and security (see CCTV below).
How and why we use it, and our lawful basis
- To reply to you and manage bookings — based on our legitimate interests in running the business and on performing our service to you.
- To run treatments safely and meet legal duties — for example age verification and skin assessments for sunbed use under Scottish health regulations. Our basis is compliance with a legal obligation, and for health information, the protection of your vital interests and reasons of health.
- To send you marketing (Glow Club offers and updates) — only with your consent, which you can withdraw at any time using the unsubscribe link or by contacting us.
- To understand and improve the website — only with your consent to analytics cookies.
We never sell your personal information.
CCTV
We operate CCTV at our studio for the safety and security of our customers and staff, and to help prevent and detect crime. Our lawful basis is our legitimate interests in protecting people and property. Footage is recorded and held only for a limited period before being securely overwritten, is accessed only where genuinely necessary (for example to investigate an incident), and is shared with the police or other authorities only where we are legally required or permitted to do so. Signs are displayed on the premises to let you know CCTV is in use.
Cookies & analytics
This website uses essential functionality that doesn't track you, and optional Google Analytics (GA4) to understand how the site is used. Analytics cookies are only set after you accept them in our cookie banner — if you decline, Google Analytics is not loaded. We use IP anonymisation, and you can change your choice at any time by clearing the site's cookies in your browser. We do not use advertising or cross‑site tracking cookies.
Who we share it with
We only share your information with trusted providers who help us run the business, and we require them to protect it:
- our website hosting and email providers, who store enquiries and messages on our behalf;
- our booking and salon‑management system, SalonTracker (salontracker.co.uk), where we manage appointments and client records;
- Google, which provides the website analytics described above.
We may also disclose information where we're legally required to, for example to comply with the law or to protect someone's safety. Some providers (such as Google) may process data outside the UK; where they do, this is covered by appropriate safeguards such as UK‑approved data transfer terms.
How long we keep it
We keep enquiry and booking records only for as long as we need them to provide our service and meet our legal and insurance obligations, then securely delete them. Marketing contacts are kept until you unsubscribe. Health and safety records relating to treatments are kept for the period our regulatory and insurance duties require.
Your rights
Under UK data protection law you have the right to:
- ask what personal information we hold about you, and get a copy;
- have inaccurate information corrected;
- ask us to delete your information, or restrict how we use it;
- object to certain uses, including marketing;
- withdraw consent at any time, where we rely on it.
To exercise any of these, just contact us at hello@beautano.com and we'll respond within one month.
Making a complaint
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO): ico.org.uk, helpline 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised.
